“We coordinate our entire club life through beUnity”

Joel Voirol, the major of a carnival marching band, has an important role: he coordinates the club’s events and rehearsals. To keep the effort as low as possible, he has been using the beUnity platform for about two years. The 30-year-old is enthusiastic: “It’s really satisfying to see how the investment in the platform keeps paying off more and more.”

Guggenmusik Stachelbeeri is a lively and family-oriented music group from Basel. With 22 members, including entire families, they meet weekly to make music together and prepare for the annual Fasnacht. Like many clubs, however, the group faces organizational challenges behind the scenes.

Meetings, rehearsals, events – all of these need coordination. Using WhatsApp, emails, and multiple calendars often led to chaos. “Information got lost, replies came late or not at all, and planning was relatively tedious,” says Guggenmajor Joel Voirol in an interview with beUnity. That’s why Voirol, who needed to keep an overview of everything, decided to change something in the club.

Initially, Voirol tried a web-based app, but it was too complex and difficult to maintain. They needed a central solution that covered all their needs without being too complicated or expensive. Efficient scheduling and coordination were especially important.

With beUnity, organization suddenly became easier. Polls and scheduling, which were previously tedious over WhatsApp or Doodle, can now be handled centrally and clearly. The Guggenmajor can quickly get feedback on who will attend rehearsals or who will join for meals at the club’s venue. “All information is in one place, easily accessible and clear for all members,” raves Voirol.

Voirol first encountered beUnity through his housing community, which used it for resident communication. Initially, there was skepticism. Was a new platform really necessary? But the Guggenmajor saw the potential and convinced the members to try it. Soon, it became clear that beUnity was exactly the tool the club needed.

Continuous expansion of features

Members are also happy with the new platform. No more tedious searching for information across emails and calendars. Clear communication is especially valuable for events. Responses come faster and more reliably, making planning much easier.

What Voirol appreciates most is the modular structure of the platform: “We started with the basic features. Since then, we’ve been continuously expanding functions and will soon be able to rely entirely on beUnity instead of external calendars, Dropbox, and WhatsApp.” Recently, the platform has also enabled new features. Voirol created a group where all sheet music and audio files for specific songs are stored in the file repository, allowing members to quickly and easily download them.

Saving costs and resources

The result: central management in beUnity not only saves time but also money, says Voirol. “No additional tools or platforms are needed, which significantly reduces costs.” Efficiency has improved, and organization has become much simpler. Onboarding new members now runs smoothly, too. Practical factsheets help everyone quickly feel comfortable with the new platform – and, in turn, throughout the entire club.

Today, beUnity is indispensable in daily club life. The platform has greatly facilitated communication and planning. What began with skepticism is now an essential part of their club experience.
